Start with the flight, then plan the pickup
A smooth airport pickup begins with accurate arrival details. When you send a chauffeur request, include the flight number, travel date, arrival airport and the terminal shown on your itinerary. An airline may change its schedule or terminal, so share any update with the booking team as soon as you receive it. If a guest is arriving at a private aviation terminal, provide the operator or facility name and the arrival instructions you have been given.
Confirm the name and WhatsApp number of the person who will actually travel. If an assistant is coordinating the booking, add their contact as well and make clear whom the chauffeur should contact at arrival. This small detail can save time when the booker and passenger are different people.
Describe the entire party and its luggage
The passenger count alone does not tell the full story. List the number of large suitcases, cabin bags, strollers and any bulky items such as golf equipment. Tell the booking team if a child seat or accessible arrangement is needed; these requests depend on vehicle and equipment availability and should be confirmed before travel. A vehicle that is comfortable for four guests with hand luggage may not fit four guests carrying several large suitcases.

Give a complete drop-off address
Provide the destination name, building or hotel entrance, street address and any useful access details. “Dubai Marina” or “Business Bay” alone may leave several possible pickup or drop-off points. A hotel can have a main entrance and a separate residence or event entrance, so include the one your guest intends to use. If the journey includes a stop or a second drop-off, specify it before you request the price.

Confirm the service details before travel
Ask for written confirmation of the date, pickup instructions, destination, passenger and luggage details, vehicle category, price and the applicable waiting or cancellation terms. A requested model, colour or trim is subject to availability unless expressly confirmed. Keep the confirmation and share any flight or schedule changes promptly.
For a return trip, provide its separate pickup address, date and time. If the guest needs several stops during a business day, include the sequence and expected waiting periods. Clear details give the chauffeur team a workable plan and give you a better basis for comparing quotes.
