A private aviation arrival needs more precise pickup instructions than “Dubai airport.” The passenger may leave through a private terminal or an operator’s reception, and the permitted meeting point can differ from a commercial arrivals hall. Confirming the correct facility and ground contact before travel helps the chauffeur coordinator arrange a smooth handover.
Identify the airport and private terminal
State the arrival airport, the operator or fixed-base facility, the expected arrival time and the exact reception or pickup instructions supplied by the aviation team. If you have only a flight reference, ask the operator for the facility name and where a ground chauffeur may meet the passenger. Do not assume that a commercial terminal entrance is suitable for a private aviation arrival.
Airside access and vehicle movements are subject to the facility’s rules and permission. The chauffeur pickup point should be confirmed with the operator; a road vehicle should never be promised access to the aircraft unless that access has been specifically authorised by the responsible facility.
Give the right ground contact
Provide the travelling guest’s name and a reachable mobile or WhatsApp number, plus a separate contact for the assistant, handler or flight operations team if one is coordinating the arrival. Tell the booking team who should receive pickup updates and who may change the onward route. Share only the information necessary to organise the journey.
If arrival time or facility changes, notify the chauffeur coordinator as soon as the aviation team confirms it. A change in aircraft schedule may affect vehicle dispatch, waiting time and onward appointments, so agree how those changes will be handled in the quotation.
Plan luggage and the onward itinerary
Count passengers and describe full-size suitcases, cabin bags and any unusually large or delicate items. A requested luxury model must still have suitable seating and luggage capacity for the actual party. For more than one traveller or substantial baggage, discuss a larger vehicle category or a separate luggage vehicle with the team.

Choose the appropriate service period
A direct transfer works when the guest needs one pickup and one drop-off. If the chauffeur must remain available for meetings, dining or later travel, share the complete schedule and request a suitable hourly or full-day quotation. Confirm the included hours, waiting and extra-hour terms, any parking or access charges and the return pickup if one is required.
