Some properties have a separate residence entrance, event access or a vehicle collection point away from the main lobby. Giving the chauffeur team a precise meeting plan helps guests avoid walking between entrances with luggage.

Confirm the exact hotel entrance

Send the hotel’s full name and address, then ask the concierge which entrance is suitable for a prebooked chauffeur pickup. If the property has several towers, restaurants or serviced residences, add the building and entrance name. A map pin can help, but written access instructions are useful when the entrance is inside a larger complex.

Tell the booking team whether the guest will wait at reception, the valet desk or another agreed point. A chauffeur’s ability to stop or wait at a particular entrance depends on the property’s rules and the traffic situation, so confirm the practical meeting point before departure.

Work back from the departure time

For an airport departure, share the flight details, airport and terminal, and the time the traveller wants to reach check-in. Add time for checking out, collecting bags and leaving the hotel. If a meeting or event has a fixed start, include its address and the expected arrival time rather than requesting only a pickup time.

Traffic, venue access and changes to an itinerary can affect travel time. Ask the team to review the route and propose a suitable pickup time; a time estimate is not a guarantee of arrival. Match the car to guests and bags

State the number of adults and children and count large cases, cabin bags, strollers or other bulky items. Do not assume a luggage count from the number of seats.
