This is especially useful for airport pickups, family trips and group transfers where a comfortable seating plan also needs to work with the luggage.

Begin with the actual travelling party

Give the reservation team the number of adults and children who will ride, and tell them if someone is meeting the group later. If a child seat, extra assistance or an accessible arrangement is needed, request it in advance so the team can check vehicle and equipment availability. Do not assume that a listed seat count covers a particular child-seat installation or special arrangement.

For a business pickup, say whether an assistant is booking for someone else and provide the travelling guest’s contact details. A passenger who joins after the first stop changes the route and may change the vehicle category required.

Describe luggage by size and type

“Four bags” could mean four compact cabin cases or four large checked suitcases. List large suitcases, cabin bags, backpacks, strollers, golf bags and other bulky items separately. Note anything fragile or unusually shaped. If the party is arriving at an airport, estimate the luggage that will actually leave the terminal with them rather than what was booked on the airline ticket.

These are examples, not a promise of a fixed luggage capacity for every vehicle.

For a family, include stroller size, child-seat needs and the number of large cases. For an event, provide the number of delegates and any presentation equipment. If separate vehicles would make the itinerary more comfortable, ask for that option in the quotation.

Account for airport and multi-stop plans

For Dubai airport chauffeur service, include the airport, flight number, terminal, destination and number of passengers. A private aviation arrival needs the operator or facility details too. Share any later hotel stops, passenger pickups or changes in luggage at each stop.

For an intercity journey, describe the entire route and the expected return arrangements. If the party may shop during the day or collect more luggage before returning, mention that when you enquire rather than assuming the initial vehicle will still be suitable.
