When guests arrive on different flights, “one airport pickup” can hide several separate movements. Flight times, terminals, immigration, luggage collection and onward destinations may not match. A simple arrival manifest lets the booking and dispatch teams decide whether guests can travel together or need staggered vehicles.

Make a flight-by-flight guest list
For each arriving party, record the guest or group lead’s name, flight number, arrival date, airport and terminal, passenger count, luggage count and a reachable WhatsApp number. Ask the travellers to report flight or terminal changes as soon as they know. Dubai Airports provides an official arrivals status page, but the booking team still needs the correct flight information and a contact for each group.
Separate guests flying into Dubai International (DXB) from those arriving at Dubai World Central (DWC). Do not combine them under “Dubai airport” in the manifest. For a private aviation arrival, add the facility or operator and its ground meeting instructions rather than treating it as a commercial terminal pickup.
Agree the meeting point for each arrival
Write the meeting instructions that the guest will actually receive. The permitted pickup or greeting location depends on the airport, terminal and operating rules. Avoid promising a curbside or airside meeting point before it has been confirmed. Dubai Airports describes a dedicated Greet & Go reception area at DXB Terminal 3; any use of a particular airport reception service must be arranged and confirmed rather than assumed.
Give each guest the name or contact of the person coordinating the arrival. For a large conference delegation, assign a lead for each flight or arrival wave so the dispatch team can confirm when the group has cleared arrivals and is ready to travel.
Group travellers by timing and destination
Passengers on flights that land close together may still emerge at different times. Decide how long a group is willing to wait and whether separate departures are preferable. If hotel destinations differ, list the drop-offs in order; a second vehicle may serve guests better than a long multi-stop journey. Count large suitcases, carry-ons and presentation materials as well as people. A Mercedes Sprinter category may be considered for a suitable group, subject to verified seating and luggage fit. More bags, different terminals or far-apart flight times may call for more than one vehicle.
Confirm the changes and quotation terms
Ask the booking team how flight delays, waiting, additional stops and changed passenger numbers are handled. Share a revised manifest if a guest moves flights or a new attendee joins. Keep one organiser responsible for approving changes and receiving the final movement plan.
The written confirmation should identify each pickup, assigned vehicle category, guest lead, meeting instructions, destination and final price. Vehicle images are representative. A request becomes a booking only when the arrangements and quotation are confirmed.
Multiple-flight pickup checklist
- One row per flight with date, airport, terminal and arrival time.
- Guest lead and reachable WhatsApp number for each party.
- Passenger, suitcase and carry-on counts for each wave.
- Confirmed meeting instructions and hotel drop-off sequence.
- Waiting, delay and change terms in the written quotation.
