A trade exhibition often brings together airport arrivals, hotel collections, venue drop-offs, business meetings and late departures. The transport plan should reflect the actual event timetable and the entrance delegates will use. A clear movement list helps ECS Dubai’s reservations and dispatch teams arrange suitable vehicles and a practical schedule.

Confirm the venue and entrance
Give the event name, venue, hall or registration area and the specific guest entrance agreed with the organiser. Large Dubai venues may have several halls and access points. Dubai World Trade Centre, for example, publishes official visitor directions; use the current event instructions for the exact arrival point. Do not send a chauffeur to a goods entrance or exhibitor loading area unless the event organiser explicitly directs authorised vehicle access there.
Ask the organiser where a prebooked car may stop for drop-off and where the guest should meet it later. Waiting or parking rules can differ from the morning drop-off arrangement. Share the final instructions with guests as well as chauffeurs.
List each delegate’s movements
Create one row per guest or group: name or lead contact, flight or hotel pickup, passenger count, luggage, event arrival time, meeting destinations and evening drop-off. Mark which movements are fixed and which can change during the day. A VIP guest going to a private meeting may need a different vehicle schedule from a larger team travelling together from a hotel. Give dispatch one coordinator who can approve changes and contact the guests.
Match vehicles to the movement pattern
Executive sedans may suit individual guests, while a larger vehicle category may suit colleagues travelling together. Seat count alone is insufficient when airport luggage, exhibition materials or presentation cases are involved. Ask for verified passenger and luggage capacity on the assigned vehicle. Decide whether each vehicle performs a direct transfer or remains available for meetings, dinners and late changes. Confirm the service period, waiting and extra-hour terms in writing. Representative vehicle photos do not guarantee a particular model or colour.
Plan the return wave
End-of-day departures can be more concentrated than morning arrivals. Set an agreed pickup time and meeting point for each group, with a lead guest who can confirm when everyone is ready. If delegates leave at different times or for different hotels, consider separate departures rather than making everyone wait for the final meeting.
Share the final movement plan with the booking team before the event, and send any updated flights, hotel addresses or guest counts promptly. Ask how changed stops, waiting and cancellations will affect the quotation.
